Emails are an obvious form of communication in salesforce.com project collaboration teams - internal and partners. However, screening through emails threads for earlier correspondence is a huge waste of time. It is NOT a project management or communication tool that is used effectively.
If you are not using Chatter - a free module on salesforce.com for internal project collaboration, you are missing on something! Your project vendor may not have an implementation communication strategy. They don't need one. You do!
Chatter beautifully captures internal ideas, promotes collaboration around unstructured project topics and keeps everyone in the loop. In fact, Chatter can be exposed to external audience too. So make sure your implementation partner uses chatter to communicate / update / get approvals on key ideas in real time.
Another tool that we have started to love in our projects is Trello. It visually captures project tasks. What I personally love is feature to drag & drop cards or tasks to make project evolution extremely fluid.
